This policy explains how we collect, use, share and protect personal data when you visit namtech.vn, submit the contact form, or submit an order request through the cart. We process personal data in accordance with Vietnam's Personal Data Protection Law No. 91/2025/QH15 and its implementing Decree 356/2025/NĐ-CP (both in force since 01/01/2026), and other applicable Vietnamese laws.

1. Data controller

The namtech.vn website is operated by CÔNG TY TNHH CÔNG NGHỆ N.A.M (international name: N.A.M TECHNOLOGY COMPANY LIMITED; short name: NAMTECH), which determines the purposes and means of processing personal data collected through the website ("Namtech", "we", "us").

2. Data we collect

2.1. When you submit an order request through the cart

• Orderer details: full name, phone number, email;
• Delivery address (optional);
• Notes you enter (for example the AI models you need to run, when you need the machine);
• Company invoice details (only if you select "Issue a company VAT invoice"): tax code, company name, company address;
• Order details: products, configuration, quantity, prices, any discount code entered, order reference number and submission time.

Your cart contents and applied discount code are kept in your browser's storage (localStorage) so the cart persists across pages; this data stays on your device and you can remove it by emptying the cart or clearing site data in your browser.

2.2. When you submit the contact / "Book a consultation – Request a quote" form

• Full name, email, phone number, company name;
• Headcount, most recent revenue (optional), the need you select or describe, page language.

2.3. Surveys for invited clients

Some clients receive a private link (with an access code) from Namtech to a survey on the website. Answers, attachments (if any) and respondent details are stored to prepare consulting and quotes for that client. The specific content of each survey is stated on the survey itself.

2.4. Data collected automatically

• Google Analytics 4 (if you consent to analytics cookies): pages viewed, duration, device/browser type, approximate location, and certain events such as a successful form submission (with the need, headcount band and revenue band you selected — without your name, email or phone number);
• IP address, processed temporarily in server memory to rate-limit submissions and prevent spam and abuse; it is not written to storage files.

2.5. Customer data in the AI computing capacity service (Mac-for-AI rental)

For the AI computing capacity service (Mac-for-AI rental), data the customer puts on the machine belongs to the customer. For personal data contained in it, the customer is the data controller and CÔNG TY TNHH CÔNG NGHỆ N.A.M is the data processor under the service contract and the data processing addendum signed with the customer, in accordance with Personal Data Protection Law No. 91/2025/QH15 and Decree 356/2025/NĐ-CP. Namtech does not use this data to train models and deletes it when the contract ends.

3. Purposes of processing

• Receiving, confirming by phone and handling order requests; passing the necessary information to the Seller (Decorp) for sale, invoicing and delivery;
• Configuration advice, installation and tuning of AI software; invoicing Namtech's services and software;
• Responding to consultation, quote and support requests;
• Looking up the company name and address from a tax code to help you fill in invoice details quickly and accurately;
• Measuring and improving the website (if you consent to analytics cookies);
• Protecting system security and preventing spam and fraud;
• Complying with legal obligations (accounting, tax, lawful requests from competent authorities).

We do not sell your personal data and do not use it for targeted advertising.

4. Legal basis

We process data based on your consent (when you actively submit a form, an order, or click "Accept" on cookies) and on the cases in which the law permits processing without consent, such as performing a contract/transaction at your request or complying with legal obligations, in accordance with Personal Data Protection Law No. 91/2025/QH15.

5. Data sharing

We share data only to the extent necessary with the following parties:

Once an order is confirmed, Namtech enters the necessary order information into Decorp's order management system. Namtech and Decorp have signed a confidentiality and data processing agreement covering this information.

6. Cookies and analytics

• The website uses Google Analytics 4 (measurement ID G-MS70GWCYL0) via the Google tag with Google Consent Mode: the default state is denied (analytics_storage, ad_storage, ad_user_data and ad_personalization are all denied) until you click "Accept" on the cookie banner. When you accept, only analytics (analytics_storage) is enabled.
• You may click "Decline"; your choice is remembered in your browser. You can delete cookies and site data at any time in your browser settings.
• Essential storage (cookie choice, language, theme, cart contents) does not require consent as it is necessary for the website to function.

7. Where data is kept and for how long

• Order requests and contact forms: the website does not store these in a database; they are sent via Brevo to Namtech's email mailbox and kept there. They are retained for the retention periods for accounting documents: at least 10 years for accounting vouchers used directly for bookkeeping and preparing financial statements (Article 41(5)(b) of the Law on Accounting No. 88/2015/QH13; Article 13 of Decree 174/2016/ND-CP), and at least 5 years for records used for management and operations that are not used directly for bookkeeping (Article 41(5)(a) of the Law on Accounting No. 88/2015/QH13; Article 12 of Decree 174/2016/ND-CP).
• Accounting records and invoices related to transactions: kept for the periods above and as required by tax law.
• Surveys: stored on Google's cloud storage infrastructure; kept for 12 months from the date you submit the survey.
• Tax-code lookups: lookup results (company name and address) are cached in server memory for up to about 6 hours to limit repeat calls to the lookup service.
• "Recent activity" feature on the website: recorded only in anonymised form (type of action, product, province inferred from the company address, time) and does not contain names, company names, emails, phone numbers, tax codes, addresses or messages; deleted automatically after 90 days.

When the retention period ends, data is deleted or anonymised unless the law requires otherwise.

8. Your rights

Under Personal Data Protection Law No. 91/2025/QH15, you have data subject rights including: to be informed about the processing of your data; to give or refuse consent, and to withdraw consent; to access and correct, or request correction of, your data; to request deletion; to request restriction of or object to processing; and to complain, denounce, bring legal action and claim compensation in accordance with the law. Some rights may be limited in cases provided by law (for example where records must be retained under tax or accounting law).

9. Cross-border transfer of personal data

Some service providers we use (Brevo, Google) are foreign services and may store and process data outside Vietnam. Using a platform outside Vietnam to process personal data collected in Vietnam falls within cross-border transfer of personal data under Article 20 of Law 91/2025/QH15. Namtech has completed the cross-border personal data transfer procedure under Article 20 of Personal Data Protection Law No. 91/2025/QH15 for these providers.

10. Data security

We apply reasonable technical and organisational measures such as HTTPS encryption, access controls, rate limiting, spam protection and data minimisation (orders are not stored in the website's database; statistics are anonymised). No method of transmission over the Internet is completely secure; if a data breach occurs, we will handle it and give notice as required by law.

11. Children

The website and services are not directed at children. We do not knowingly collect children's personal data.

12. Changes to this policy

We may update this policy. The new version will be posted on this page with its update date.

13. Language

This policy is made in Vietnamese and English. In case of any inconsistency between the two versions, the Vietnamese version prevails.
